Warm Transfer vs Cold Transfer: Warm Briefs Your Team First, Cold Just Connects

By Sharrk Team · October 24, 2026

A warm transfer briefs the person taking the call, or introduces the caller, before the two are connected; a cold transfer connects the caller straight through with no introduction. With Sharrk, your AI voice agent can do either, so a small service business can warm-transfer emergencies and high-value jobs and cold-transfer simple routing calls.

Both terms come from phone systems and contact centers. They describe the same basic move, handing a live caller to someone else, with one difference: whether the person picking up knows anything before the caller is on the line.

What is a warm transfer?

A warm transfer is a handoff where the first person on the call talks to the receiving person before the caller is connected. RingCentral describes it as the first recipient briefly speaking with the destination before handing off, with the caller usually on hold during that step, and lists other names for it: consultative, announced, attended, hot or soft transfer. Nextiva defines it as passing along "the relevant information and context of a customer interaction" so the caller doesn't have to start over. Genesys calls it a "two-step transfer."

There are two common styles:

  • Whisper (private brief): the receiving person hears a short summary that the caller doesn't hear, then the call is bridged.
  • Three-way intro (public handoff): all three are on the line for a moment while the first party introduces the caller and the reason for the call.

What is a cold transfer?

A cold transfer, also called a blind or unannounced transfer, sends the caller directly to another person or number with no introduction. RingCentral says a cold transfer "doesn't include the introduction or passing of information that a warm call transfer does." OnSIP adds that a blind transfer goes through "without first checking if the recipient is available."

It is fast and simple. The tradeoff is that the person who answers starts with no context, and if nobody answers, the caller can end up in voicemail.

Nextiva's own summary lines up with this: cold transfers are quicker and cheaper per call, while warm transfers give a better customer experience at the cost of more handling time (Nextiva, updated September 2026).

When should a home-service business use a warm transfer vs a cold transfer?

Use a warm transfer when the person picking up needs to act fast or the job is worth a lot. Use a cold transfer when the caller just needs to reach a known person or desk.

If you only set up one, make it the emergency warm transfer. That is the call where a few seconds of context matters most. Our plumbing emergency call script covers what to ask before that handoff.

What should a warm-transfer whisper say?

Keep the whisper under 15 seconds. Your tech should know who, where, what and how urgent before the caller is on the line. A sample for an HVAC or plumbing company:

"Incoming transfer from the AI agent. Emergency. Caller is Dana Ruiz at 412 Oak Street. Water heater is leaking into the basement, water is still running, she's shut off the main. Existing customer. Wants someone tonight. Connecting you now."

For a big-ticket sales call:

"Incoming transfer. New lead, not an emergency. Caller wants a quote on a full AC replacement for a two-story home in Riverside. System is about 18 years old. Asked about financing. Connecting you now."

And a three-way intro, spoken to both people once they're bridged:

"Hi Mike, I have Dana on the line. She has a leaking water heater at 412 Oak Street and the main is shut off. Dana, Mike is our on-call technician and he'll take it from here."

A good whisper follows the same order every time: urgency, name, address, problem, what's been done, what the caller wants. Your team learns to listen for it.

How does Sharrk handle warm and cold transfers?

Sharrk AI voice agents answer every call 24/7 and can transfer live to a person, cold or warm. You choose how the transfer works:

  • Where it goes: a fixed number every time, or "agent decides," where you describe in plain words when and how the agent should transfer (for example, "transfer when the caller reports active water, a gas smell, or no heat, or asks for a manager").
  • Cold: connect right away, with an optional line the agent says to the caller while connecting.
  • Warm: the agent talks to your team member first. Add a private whisper brief, a three-way intro, or both, each written as a fixed message or generated from the call so it carries the caller's actual details. The caller hears hold audio while this happens, and by default the agent checks that a person answered before bridging. If the number you transfer to has a phone menu, you can tell the agent which options to press.

Every call is logged with the transcript, recording and captured fields, so you can review what happened before and after the handoff. This is how the Sharrk AI answering service gets urgent calls to a person without losing the details.

Mako, Sharrk's AI assistant, sets this up from plain English. Tell it "warm-transfer emergencies to my cell with a short whisper, cold-transfer billing questions to the office," and it builds the transfer settings along with the rest of the agent. Mako shows every change on an Apply card and waits for your OK before anything is saved.

Frequently asked questions

What is the difference between a warm transfer and a cold transfer?

A warm transfer briefs the person taking the call, or introduces the caller, before connecting; a cold transfer connects the caller directly with no introduction. Warm takes a few extra seconds but the caller doesn't have to repeat themselves.

Is a warm transfer the same as an attended transfer?

Yes, an attended transfer is another name for a warm transfer. RingCentral also lists consultative, announced, hot and soft transfer as names for the same thing.

Is a blind transfer the same as a cold transfer?

Yes, a blind transfer is a cold transfer: the caller is sent to another person or number without an introduction and without first checking that someone is available.

What is a whisper in a call transfer?

A whisper is a short private message the person taking the call hears before the caller is connected. The caller doesn't hear it. It usually covers urgency, name, address and the problem.

Can an AI voice agent do a warm transfer?

Yes, Sharrk voice agents can do warm transfers. The agent can give your team member a private whisper brief, do a three-way intro, or both, while the caller hears hold audio, and it checks a person answered before connecting by default.

Which transfer should a plumber or HVAC company use for emergencies?

Use a warm transfer for emergencies. The on-call tech hears the address and the problem before picking up, so they can act right away instead of starting the call from scratch.
