Plumbing lead follow-up script: call within 5 minutes, confirm the problem, offer two time slots; text if no answer

By Sharrk Team · October 26, 2026

The best plumbing lead follow-up script is short: call within 5 minutes, confirm the problem in the lead's own words, offer two specific time slots, and text right away if they don't answer. Sharrk runs that script for you: its AI voice and text agents reply to new plumbing leads in under 30 seconds, follow up automatically by call, text and email, and book the visit while the homeowner is still interested.

This guide covers leads that didn't book on first contact: a quiet water heater quote, a repipe or sewer quote, a form fill with no answer. For live emergency calls (burst pipe, sewage backup), use our plumbing emergency call script. For how fast to answer in the first place, see plumbing lead response time.

Why does the first 5 minutes matter for a plumbing lead?

Because contact rates fall fast. The InsideSales.com/MIT Lead Response Management Study, presented October 16, 2007 by Dave Elkington and James Oldroyd, found that "the odds of contacting a lead if called in 5 minutes versus 30 minutes drop 100 times," and the odds of qualifying the lead dropped 21 times. A 2011 Harvard Business Review article by Oldroyd, Kristina McElheran and Elkington audited 2,241 US companies and found that firms contacting a lead within an hour were nearly seven times as likely to qualify it as those that waited an hour or longer; only 37% responded within an hour, and the average response was 42 hours.

Both studies are old and measured general web sales leads, not plumbing customers, but the lesson holds: call while they're still thinking about the problem.

What is the plumbing lead follow-up cadence?

What should you say when you call a plumbing lead back?

Name, problem, two slots. Word for word:

"Hi, is this Jordan? This is Alex with Riverside Plumbing (sample). You asked about replacing your water heater a few minutes ago. Is it leaking right now, or just not keeping up with hot water?" (Listen. If water is actively leaking or there is no water at all, move to your emergency process.) "Got it. Do you know roughly how old it is, and is it gas or electric?" "Thanks. The next step is a plumber looking at it in person so you get an exact price, not a guess over the phone. I have Thursday between 8 and 10 or Friday between 1 and 3. Which works better?" (They pick one.) "You're set for Thursday, 8 to 10. You'll get a text confirmation, and the plumber will text when he's on the way. Anything about access, like a gate code or a dog?"

Swap the middle question for the job: "One drain or several?" for drains, "Any pinhole leaks or discolored water?" for a repipe, "Has the line been scoped before?" for sewer work. One or two questions, no more.

What should a plumbing follow-up voicemail say?

Under 20 seconds, with a reason to call back:

"Hi Jordan, Alex with Riverside Plumbing (sample) about your water heater. I'm holding Thursday 8 to 10 and Friday 1 to 3 for you. Call or text me at (555) 010-0142, or just reply to the text I'm sending now. Thanks."

What texts should you send a plumbing lead who didn't answer?

Three samples (names and numbers are samples):

After a missed call: Hi Jordan, Alex with Riverside Plumbing. Just tried you about your water heater. I can have a plumber out Thu 8-10am or Fri 1-3pm. Reply 1 or 2 and you're booked. Reply STOP to opt out.

Day 1: Morning Jordan, quick answer to the question most people have: the visit gives you an exact price on the spot, and nothing gets done without your OK. Still have Thu 8-10am open. Want it? Reply STOP to opt out.

Day 7: Hi Jordan, checking in on the water heater. Still need help? We have openings this week; reply with a day that works. Reply STOP to opt out.

Calling or texting leads with automated or AI tools requires the right consent; see is it legal to call leads with an AI voice before you turn on any automation.

What should the follow-up email say?

One recap, one action:

Subject: Your water heater visit, two times held Hi Jordan, Thanks for reaching out about your water heater. A plumber will check the unit, the venting and the connections and give you an exact price before any work starts. I'm holding Thursday 8-10am and Friday 1-3pm. Reply with the one you want, or call (555) 010-0142. Alex, Riverside Plumbing (sample)

How do you handle common plumbing objections?

ObjectionWhat to say
"That's more than I expected.""Fair. The price depends on what we find, so the visit gets you an exact number in writing before anything happens. If it's more than you want to spend, we'll walk through the options."
"I'm getting other quotes.""Smart. When you compare, check that each quote includes permits, haul-away and the warranty. I can hold Thursday for you so you have our number to compare too."
"It's still working.""Good, that gives you time to plan instead of replacing it in an emergency. Do you know how old it is? If it's near the end of its life, a quote now means no cold-shower surprise."

For the "it's still working" line, the age question is the honest lever: the US Department of Energy says a storage tank water heater "lasts 10-15 years" and a tankless one "lasts about 20 years."

When should you stop following up with a plumbing lead?

Stop right away when:

  • They book. Stop every remaining message so nobody gets a "still interested?" text after the job is scheduled.
  • They ask you to stop, in any wording.
  • They hired someone else. Thank them and keep their details for next time.

Otherwise, end after the day-14 message: "I'll close this out, reply anytime if the drain acts up again."

How does Sharrk follow up plumbing leads automatically?

Sharrk's AI voice and text agents answer every call 24/7 and reply to new leads in under 30 seconds by text, call or email. Leads from Angi, Thumbtack, Networx, Jobber, ServiceTitan, web forms and webhooks can each start a Strike: automatic follow-up mixing AI calls, AI text conversations, texts, emails and ringless voicemail. Strikes branch on the call result (answered, voicemail, no answer, booked) and on replies. Stop rules end it when a lead asks to stop, replies, or has a real conversation with the agent; add a plain-English rule like "stop if the job is booked" or end the booked branch. Sends run 8am to 8pm by default, and an after-hours lead still gets one immediate text or email.

When the lead says yes, the agent books it: onto Sharrk's calendar with a confirmation email and text, onto Calendly or Cal.com, or straight into ServiceTitan by business unit and job type with real arrival windows. Text agents book by text, too.

Mako, Sharrk's AI assistant, builds all of this from plain English. Tell Mako "call every new plumbing lead within a minute, offer two arrival windows, text if they don't pick up, and follow up for two weeks unless they book," and it drafts the agent and the Strike. Every change shows on an Apply card, Mako waits for your OK, and you can Undo.

Frequently asked questions

What should I say when following up a plumbing lead?

Use their name, repeat the problem they gave you, ask one diagnostic question and offer two specific time slots. For example: "I have Thursday 8 to 10 or Friday 1 to 3. Which works better?" Sharrk's AI agents can make this call in under 30 seconds and book the visit.

How fast should I follow up a plumbing lead?

Within 5 minutes. The 2007 InsideSales.com/MIT study found contact odds dropped 100 times when the first call came at 30 minutes instead of 5; it measured general web leads, not plumbing specifically.

How many times should I follow up a plumbing quote?

About seven to eight touches over two weeks: a call within 5 minutes, a text if missed, a second call with voicemail the same day, then a text, an email, a call and two final texts spread across days 1 to 14. Stop right away if they book, hire someone else or ask you to stop.

What do I say when a homeowner says their water heater is still working?

Ask how old it is. The US Department of Energy says storage tank water heaters last 10 to 15 years, so an older unit is worth quoting now rather than replacing in an emergency.

Can Sharrk stop follow-up when a plumbing job is booked?

Yes, through the Strike's booked branch or a plain-English stop rule like "stop if the job is booked." Strikes also stop automatically when a lead asks to stop, replies, or has a real conversation with the AI agent.
