What Should a Business Voicemail Greeting Say? Your Name, Callback Time and Next Step
By Sharrk Team · October 23, 2026
A business voicemail greeting should say your business name, when you will call back, what the caller should leave (name, number, address and the problem), and where to go for emergencies, all in about 30 seconds or less. With Sharrk, fewer calls reach voicemail in the first place: its AI voice agent answers 24/7, books the job and transfers urgent calls to your on-call tech, so the greeting becomes a backup.
Below are seven greetings you can record today for HVAC, plumbing, roofing, cleaning, after-hours, holidays and an emergency line, plus a checklist, length guidance and the mistakes that make callers hang up.
What should a business voicemail greeting include?
Phone system providers agree on the basics. RingCentral's guide (updated July 2025) lists your business name, a request for the caller's name and number, a callback timeframe, other ways to reach you, and your phone hours. Shopify's guide (November 2025) adds clear instructions on what to leave and contact details for urgent issues.
For a home-service business, that becomes five parts:
- Who they reached. Business name, and your name if you are a one-person shop.
- Why no one picked up, in a few words. "We're on a job" or "Our office is closed."
- What to leave. Name, callback number, service address and what is wrong. The address and problem let you quote or dispatch on the first callback.
- When you will call back. A real promise, such as "within two hours during business hours" or "by 9 a.m. tomorrow."
- What to do if it can't wait. An emergency number, a website booking link, or safety instructions.
How long should a business voicemail greeting be?
Keep it under 30 seconds. Zoom's guide (November 2025) recommends 20 to 30 seconds at most, and Shopify's guide says 10 to 15 seconds in most cases. If your script runs long, cut the slogan first, never the emergency instructions.
Read it aloud with a timer before you record. Most of the examples below run about 15 to 25 seconds at a normal speaking pace.
Business voicemail greeting examples for home services
Swap in your own business name, hours and numbers. Promise only callback times you can keep.
1. Standard greeting (HVAC)
"Thanks for calling Northside Heating and Air. We're helping other customers right now. Please leave your name, number, address and what's going on with your system, and we'll call you back within two hours during business hours. If you have no heat or no cooling and someone at home is at risk, press 1 to reach our on-call technician."
2. Plumbing with an emergency option
"You've reached Rivera Plumbing. We're on a job and can't get to the phone. Leave your name, number and address, and tell us if water is actively leaking. We return calls the same day. For a burst pipe or flooding, call our emergency line at 555-0142, and shut off your main water valve if you can do it safely."
3. Roofing (storm season)
"Thanks for calling Summit Roofing. Our crews are out on inspections. Please leave your name, number, property address, and whether you have an active leak or storm damage. We'll call you back by the end of the next business day. You can also request an inspection anytime on our website."
4. Cleaning service
"Hi, you've reached Bright Home Cleaning. We're with a client right now. Leave your name, number, the size of your home and the service you're interested in, and we'll call you back today with a quote. Thanks for thinking of us."
5. After-hours greeting
"Thanks for calling Oak Valley Electric. Our office is open Monday through Friday, 7 a.m. to 5 p.m. Leave your name, number, address and a short description of the problem, and we'll call you first thing next business morning. If you have sparking, burning smells or a total loss of power, press 1 for our on-call electrician."
6. Holiday greeting
"Happy holidays from Rivera Plumbing. Our office is closed from December 24 through December 26 and reopens December 27 at 8 a.m. Leave your name, number and address and we'll call you back when we reopen. For emergencies during the holiday, call 555-0142."
7. Emergency line (gas or no-heat calls)
"You've reached the Northside Heating and Air emergency line. If you smell gas, leave the building now and call 911 and your gas company from outside. Don't use phones or light switches inside. For a no-heat or no-cooling emergency, leave your name, number and address after the tone, and the on-call technician will call you back within 30 minutes."
The gas instruction in example 7 follows the Pennsylvania Public Utility Commission's advice: leave the building, avoid anything that could spark, and call 911 and your gas utility from a safe distance. Only promise a 30-minute callback if someone is on call and watching for messages.
Voicemail greeting checklist
| Check | Why it matters |
|---|---|
| Business name in the first sentence | Confirms the caller dialed the right company |
| Specific callback time | "Within two hours" sets an expectation you can meet |
| What to leave: name, number, address, problem | Lets you quote or dispatch on the first callback |
| Emergency path (number, press 1, or safety steps) | Urgent callers won't wait for a callback |
| Hours stated on after-hours greetings | Tells the caller when a person is available |
| Under 30 seconds | Long greetings get hang-ups |
| Recorded in a quiet room, at an even pace | Shopify notes unclear recordings can push callers to hang up |
| Date-specific greetings removed afterward | A holiday message in February looks careless |
What are the most common voicemail greeting mistakes?
- The carrier default. Grasshopper's guide (June 2024) warns against the generic "You've reached xxx-xxx-xxxx. Please leave a message." It doesn't tell callers they reached the right business.
- No callback time. Shopify lists this as a common mistake. "We'll get back to you" doesn't tell anyone whether to wait or call your competitor.
- Too much information. Services lists, slogans and directions to your shop push the beep past 30 seconds.
- Jokes or very casual language. Both Shopify and Zoom advise a professional tone.
- No emergency option. A homeowner with water on the floor needs a next step, not a beep.
- Promises you don't keep. RingCentral's advice is to call back within the timeframe your greeting promises.
- A full mailbox. Clear it daily.
Do callers leave voicemails for businesses?
Many don't. In a 2016 report from Moneypenny, an answering-service company, 69% of callers declined to leave a message and hung up instead. That figure comes from a vendor-commissioned survey and is now ten years old, so treat it as a rough signal. For trades the risk is plain: a caller with a leak or a broken AC can dial the next company on the list instead of waiting. Your callback also has to get picked up, which we cover in why people don't answer unknown numbers.
A good greeting helps. Answering the call helps more. If calls are going to voicemail because no one can pick up in time, see how many rings before answering a business call.
How do you keep calls from reaching voicemail?
Have something answer every call. With ordinary carrier call forwarding, you can forward calls you don't answer to your Sharrk number. Sharrk's AI voice agent then answers 24/7, asks the same questions your greeting would (name, address, what's wrong), books the job onto your calendar, Calendly, Cal.com or ServiceTitan, and live-transfers urgent calls to a person. The caller talks to someone right away instead of hearing a beep. Learn more about the AI answering service.
You don't have to build the agent by hand. Mako, the AI assistant inside Sharrk, builds your voice agent from a plain-English description, such as "answer for my plumbing company, book estimates on weekdays, and transfer burst pipes to my cell." It can also set up Strikes, Sharrk's automated follow-up sequences of calls, texts and emails, so new leads get worked after the first call.

Frequently asked questions
What should a business voicemail greeting say?
It should say your business name, what the caller should leave (name, number, address and the problem), when you will call back, and what to do in an emergency. Phone system guides from RingCentral and Shopify list the same core items. With Sharrk, an AI voice agent can answer instead, so fewer callers hear the greeting at all.
How long should a business voicemail greeting be?
Keep it under 30 seconds. Zoom recommends 20 to 30 seconds at most, and Shopify suggests 10 to 15 seconds in most cases.
Should a voicemail greeting include an emergency number?
Yes, if you offer emergency service. A homeowner with a burst pipe or no heat needs a next step, such as an on-call number or a 'press 1' option, not just a beep.
Do customers still leave voicemails?
Many don't. A 2016 vendor-commissioned survey from answering-service company Moneypenny found 69% of callers hung up instead of leaving a message. The figure is old, but it shows why answering the call beats relying on voicemail.
Can I send unanswered calls to an AI agent instead of voicemail?
Yes. You can use ordinary carrier call forwarding to send calls you don't answer to your Sharrk number, where an AI voice agent answers 24/7, books the job and live-transfers urgent calls to a person.
